Introduction

GolfTracker ("we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, register for events, or interact with our services.

Information We Collect

We may collect the following types of personal information:

• Contact Information: Name, email address, phone number, company name, and job title.
• Registration Data: Tournament registration details, player information, shirt sizes, handicaps, and pairing requests.
• Payment Information: Processed securely through Stripe; we do not store credit card numbers.
• Communications: Messages you send through our contact forms, and records of SMS/text message interactions.
• Usage Data: Browser type, IP address, pages visited, and interaction patterns on our website.
• Advertising and Attribution Data: Referring page, campaign parameters (such as UTM parameters), advertising click identifiers, and conversion events such as a completed signup or purchase.
• Golfer Account Data: If you create a free golfer account: your name and email address; if you choose to add them, a phone number (and whether you agree to text messages), a profile photo, your handicap, and your home course, city, and state; the rounds you keep, with hole-by-hole scores, the side games and stakes you set up, the trips you join, and the friends and crews you add; and, if you use shot tracking, the positions of the shots you mark. If you tick "Send me GolfTracker tips and app news" when you sign up or in your Profile, we add your name and email address to our Mailchimp mailing list, once you have confirmed your email, to send you GolfTracker tips and app news; you can unsubscribe any time with the link in any of those emails.

How We Use Your Information

• Process tournament registrations and payments.
• Send event confirmations, check-in reminders, and scoring links.
• Communicate tournament updates, schedule changes, and logistics via email and/or SMS.
• Respond to inquiries and provide customer support.
• Run your golfer account: keep your rounds, scores, and stats, tally side games, and send updates about rounds and trips you are part of.
• Improve our website and event experience.
• Comply with legal obligations.

Mobile App

The GolfTracker mobile app, for following events and keeping your own rounds, collects the following, and only while you use the app:

• Location (while in use): Used to show live yardage from your position to the front, center, and back of the green; that distance is calculated on your device. If you use shot tracking in a round you keep in your golfer account, the position of each shot you mark is saved with that round so we can calculate your drive and club distances. Those positions are never shown to other golfers or sold, and deleting your account deletes them. Outside a round you start on the Apple Watch app (below), the app never uses your location in the background. Declining location permission turns off yardage and shot tracking; the rest of the app works normally.
• Apple Watch: The GolfTracker Apple Watch app shows the same yardage and keeps the score and shot marks of a round in your golfer account. It signs in with your iPhone app's golfer sign-in, which the iPhone passes to the watch, so you never enter an email on the watch. During a round you start on the watch, it uses the watch's GPS for yardage and shot marks, including while your wrist is down, until you tap Stop on the watch. Scores and shot marks are saved exactly as they are from the phone; any not yet sent are kept on the watch until it reconnects.
• Apple Health: If you allow it, the Apple Watch app saves each round you play on the watch to Apple Health as a Golf workout, with its time, active energy and walking distance. Running the round as a workout is what keeps the watch's GPS on while your wrist is down. The app only writes that workout to Health on your device; it never reads your Health data, and nothing from Apple Health is sent to our servers, shared, sold, or used for advertising. If you decline, yardage still works and refreshes whenever the app is on screen. You can change this at any time in the Health app on your iPhone.
• Wear OS watch: The GolfTracker app for Wear OS watches shows the same yardage and keeps the score and shot marks of a round in your golfer account. It signs in with your Android phone app's golfer sign-in, which the phone passes to the watch through Google's Wearable Data Layer, so you never enter an email on the watch. It uses the watch's GPS for yardage and shot marks only while the app is open on the watch, including its dimmed always-on screen; it never uses your location in the background. Scores and shot marks are saved exactly as they are from the phone; any not yet sent are kept on the watch until it reconnects.
• Camera and photos: The camera is used only by event staff to scan player check-in QR codes; those images are processed on-device and never saved or transmitted. If you choose a profile photo, only the photo you pick is uploaded, and it is shown with your name to golfers you play with.
• Contacts: The app opens your phone's contact picker only when you tap to invite someone from your contacts. Only the person you pick is read, on your device, and only their email address or phone number is used for the invite; your contacts are never uploaded. An invite by text is sent from your own phone. When you invite someone to a round by email, we email them the round's link, and keep their address with that round so no one is emailed about it twice, until you delete your account. When you invite someone new to a crew by email, we email them your friend link; for a crew invite by email or text we keep the name, email address, or number you entered, so you can see who hasn't joined yet, until they join, you cancel the invite, or you delete your account. When you invite someone to plan a golf trip by email, we email them their own link to the plan; an invite by text is sent from your own phone. The name, email address, or number you entered stays on the trip's roster with their answers, votes and messages on the plan until they are removed or the plan is deleted, and deleting your account removes your own votes and messages.
• Email address: Entered by you to look up your registration, team, or scorecard for an event, or to sign in to your golfer account. Golfer sign-in works by a link we email you, or by a password you choose. A password is stored only as a one-way bcrypt hash; we cannot read it.
• Notification token: If you allow notifications, a device token is stored so we can send event-day alerts (tee-time changes, scoring reminders) and updates about rounds and trips you are part of, such as invitations, the standings at the turn, and the final result. Revoking the permission stops this.
• AI caddie: When you ask Bogey a question, the details it needs to answer are sent to our AI provider, as described under AI Features below.
• On-device storage: The app saves your joined event, your golfer sign-in, and unsent scores locally so it keeps working without signal on the course. This data stays on your device and syncs when you reconnect. Deleting the app removes it.

The app contains no advertising, no third-party analytics or tracking SDKs, and does not track you across other apps or websites. We do not sell personal information.

AI Features

Bogey, the AI caddie: When you ask Bogey a question, in the app, on your My Rounds page, or in a trip's chat, we send your question, the conversation so far, and the details Bogey needs to answer: the players' names, their scores, the side games and stakes, and the record of scores changed after they were entered. In a round, they also include the asking golfer's own stats and shot distances, such as their handicap estimate, scoring averages and yardages, but never the positions they marked or another player's stats. For a trip or a tournament, those details are its standings and scores. When you ask Bogey to help plan a trip, they are the plan's first names and who is in, the places, dates and courses suggested and the votes on them, and your question, which is also posted in the plan's chat for the group to see. This information is processed by Anthropic, the AI provider that writes Bogey's replies; see the Anthropic Privacy Policy. The standings and totals Bogey reports come from our own scoring engine, not from the AI, and Bogey's automatic updates at the turn and at the finish are written without the AI.

Bogey's web research: In a trip's chat, when a question can't be answered from the trip's own details or our course directory — such as course conditions, overseeding or aeration dates, green fees or local events — Bogey may search the web. The search is run by Anthropic's web search tool, using search terms the AI writes from your question and the conversation. Anything Bogey tells you from the web is shown with a link to its source, and when it can't confirm something it says so. The trip's standings, scores, tee times and score changes never come from the web. When you ask for other courses near a trip, the list comes from GolfTracker's own course directory, not the AI; private clubs are left out, and a distance measured to a town rather than the course is marked approximate.

Finding a course: When you ask us to find a course, the course name, location, website address, or scorecard photo you give us is sent to Anthropic to read the course details.

SMS / Text Messaging

When you opt in to receive text messages from GolfTracker during registration, you consent to receive SMS messages related to event updates, registration confirmations, check-in reminders, scoring links, and tournament logistics.

Message Types

Messages may include: registration confirmations, check-in reminders, live scoring links, roster completion reminders, schedule updates, and event-day logistics.

Message Frequency

Message frequency varies based on tournament schedule and your registration status. You may receive up to 10 messages per event cycle. Msg & data rates may apply.

Opt-Out

You can opt out at any time by replying STOP to any message. You will receive a one-time confirmation message and no further texts will be sent. You may also text HELP for assistance.

No Sharing of SMS Data

SMS opt-in consent and mobile phone numbers collected through our registration process are NOT sold, rented, shared, or disclosed to third parties or affiliates for marketing or promotional purposes.

Your mobile number is used solely for the purpose of delivering tournament-related communications that you have explicitly consented to receive.

Carriers

Carriers are not liable for delayed or undelivered messages. Message and data rates may apply for any messages sent to you from us and to us from you.

Cookies, Analytics & Advertising

We use cookies and similar identifiers (such as browser local storage) for two purposes beyond keeping the site and checkout working: measuring site usage, and measuring the performance of our own advertising.

• Google Analytics (GA4): Collects pages viewed, general device/browser information, IP address, approximate location, referring source, campaign parameters, and website interactions to help us understand how the site is used. Data is processed by Google; see how Google uses information from sites that use its services.
• Google Ads conversion measurement: When you arrive from a Google Ads campaign, we measure whether that visit led to a signup or registration, prevent duplicate conversion counts, and evaluate campaign performance. Google may use cookies or advertising identifiers for measurement according to your settings and consent choices. You can manage Google advertising preferences in Google Ads Settings.
• ChatGPT (OpenAI) ad conversion measurement: When you arrive from one of our ads in ChatGPT, OpenAI's measurement pixel records whether that visit led to a signup or purchase so we can evaluate the campaign. It uses first-party cookies to remember the ad click (up to 30 days) and a random browser identifier (up to 365 days). With advertising cookies allowed, it may also detect contact details you enter in a form on this site (such as your email address or phone number), convert them to a one-way hashed (SHA-256) value in your browser, and send only that hashed value to OpenAI to match a signup to an ad click. If you reject advertising cookies, the pixel sends no conversion data and sets no advertising identifiers; OpenAI's script may still send a basic technical diagnostic without them. Data is processed by OpenAI; see the OpenAI Privacy Policy.
• Microsoft Clarity: Session-replay and heatmap analytics that help us see how visitors use the site (e.g., where they click or scroll) so we can fix confusing pages. Clarity may collect page, device, browser, IP-derived location, click, scroll, and navigation information and use pseudonymous identifiers and cookies. Data is processed by Microsoft; see the Microsoft Privacy Statement.

Your choice: Analytics and advertising cookies do not run until you choose to allow them. On your first visit, and any time afterward via the "Privacy Choices" link in the site footer, you can accept all, reject all non-essential cookies, or choose analytics and advertising separately. Your choice is remembered on this device/browser and applied automatically on later visits; it does not follow you to a different device or browser.

We generally retain analytics data for the period set by our default Google Analytics/Clarity configuration (commonly around 14 months for GA4 unless changed in our account settings); rejecting analytics prevents new data from being collected but does not retroactively delete data already recorded under an earlier choice.

We do not intentionally send payment-card numbers, passwords, check-in or roster tokens, or the contents of form fields to our analytics tools. The one exception on this site is the hashed contact detail described above for ChatGPT (OpenAI) ad measurement. You can also use Google's Analytics opt-out browser add-on.

Some regions (for example the EU/UK under GDPR, and certain U.S. states) impose specific requirements on cookie consent, "sale"/"sharing" of data for advertising, and opt-out rights (including honoring the Global Privacy Control signal) beyond what is described above. This paragraph flags that those region-specific rules have not yet had a legal review; it is not a statement that they have been assessed or met.

Sharing of Information

We do not sell personal information for money. We disclose information only as needed to operate the service, complete transactions, measure performance, comply with law, protect rights and safety, or complete a business transaction. Recipients may include Stripe for payment processing; email and SMS providers for requested communications; Google, Microsoft, and OpenAI for the analytics and advertising purposes described above; Anthropic for the AI features described above; other golfers, who see only your name, photo, and handicap, plus your scores in rounds and trips you play together; hosting, cloud, security, and support providers; tournament organizers; and vendors involved in event logistics such as golf courses, catering, and registration services.

Some privacy laws define certain advertising or analytics disclosures as "sharing," "targeted advertising," or a "sale" even when no money changes hands. Where those definitions apply, you may request to opt out as described below. We do not disclose SMS opt-in consent or mobile phone numbers to third parties or affiliates for their marketing or promotional purposes.

Your Choices

You can opt out of promotional emails through the "unsubscribe" link in those emails and opt out of SMS as described above. We may still send essential transactional or event-related communications. For analytics and advertising cookies, use the Privacy Choices link (also in the site footer) to accept, reject, or change your choice at any time. Where applicable law provides the right, you may also ask us to opt you out of targeted advertising or the sale or sharing of personal information.

Data Security

We implement appropriate technical and organizational security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Payment processing is handled by Stripe, a PCI-DSS compliant payment processor.

Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including operating an event or account, completing and documenting transactions, preventing fraud, complying with legal and accounting duties, resolving disputes, and enforcing agreements. Retention periods vary by record type. SMS opt-out records are retained as needed to honor the opt-out. Analytics and payment providers retain information under their own policies and settings. We delete or de-identify information when it is no longer reasonably necessary, unless a longer period is required or permitted by law. Golfer account data is kept until you delete the account, which you can do at any time with "Delete my account" in the app or on your My Rounds page. Deleting it erases your account, your rounds, and your sign-in links; scores in rounds other golfers played with you stay with them, and a trip or round you host passes to another member where there is one.

Your Rights

Depending on where you live, you may have rights to know about or access personal information, correct inaccuracies, request deletion, obtain a portable copy, and opt out of targeted advertising or the sale or sharing of personal information. You may also have the right to limit certain uses of sensitive personal information and to appeal a denied request. We will not discriminate against you for exercising a privacy right. Children's Privacy

Our services are not directed to children under 13, and we do not knowingly collect personal information directly from a child under 13 without appropriate authorization. If you believe a child provided information to us improperly, contact us so we can review and delete it where required.

International Data Processing

We and our service providers may process information in the United States and other countries. Privacy protections may differ from those in your home jurisdiction. Where required, we use appropriate safeguards for international transfers.

Changes to This Policy

We may update this policy as our services or legal obligations change. We will post the revised policy here and update the date above. If a change materially affects how we use personal information, we will provide additional notice where required.
